Agent
An AI teammate for open-ended work - with its own identity, knowledge, Flows to use, and (optionally) connected services - that you build in the Agent builder, then chat with, publish, or add to Suites and Apps. Formerly called "Expert." Not to be confused with an Agent node (below), the workflow node that calls an AI model inside a Flow.
Admission
The list of groups a Portal lets through its door. Plans count as groups. With no Storefront attached, an empty list admits nobody; with one attached, anyone who signs in may enter and pick a plan. See Portals as doors.
Agent Node
A workflow node, labeled AI Prompt in the workflow builder, that sends a prompt to an AI model (like GPT, Claude, or Gemini) and returns the response. The Agent node is the core of most workflows - use it whenever you need the AI to generate, analyze, or summarize text. Distinct from an Agent (above), the reusable persona product.
App
A composite product that packages Agents and Flows behind a single Supervisor - an Agent that routes each request to the right member and answers with one voice. Members stay live references while drafting; publishing pins the Supervisor and every member to their current published versions. Apps can join Suites and front a Portal's New chat. Rolling out gradually.
Assigned Group
A group whose membership an admin manages under Assign > Groups. Assigning it to an asset lets every member reach it. A group grants reach only, never credits: members still need a plan (a $0 plan you assign counts) to run anything. See Users & Groups.
Assignments Tab
The tab on every Flow, Agent, App, and Suite that lists the groups - Assigned Groups and Self-Service Plans - able to reach it. The only place access is written. See The Assignments tab.
Chatbot Flow
A Flow type that gives users an interactive, conversational experience. Users type messages and the AI responds in real time.
Classify Node
A workflow node that uses AI to sort input into categories you define. Each category becomes its own branch, making it ideal for intent detection, content categorization, and sentiment analysis.
Connector
An external service connected to your workspace, like Gmail, Slack, or GitHub, managed under Components > Connectors for your Agents to use. A connected Google Drive or Notion account can also sync a folder or database into a Knowledgebase.
Credits
The unit FormWise uses to meter usage. Each run costs credits based on the AI model it uses (the model picker shows the cost), plus any add-ons like web search. Your workspace's runs draw from your FormWise plan's credits; end users who reach your work through a Portal also draw down the allowance on their own Plan (below).
Evaluator Node
A workflow node that scores, checks, or labels its input, then passes the results to the next step. Unlike Classify, it never branches.
Flow
The core building block of FormWise. A Flow is an AI-powered application you build, customize, and share - either a Form Flow or a Chatbot Flow. Formerly called "Tool."
Form Builder
The visual editor where you design the input form that users fill out when they use a Form Flow. Add fields, configure validation, and control layout.
Form Flow
A Flow type that presents users with input fields. When the form is submitted, the AI workflow processes the answers and returns a result.
If/Else Node
A workflow node that creates conditional branches based on expressions you define - no AI needed. Works like a programmatic "if this, then that." Not in the canvas's + menu; ask the Ask Assistant to add one.
Knowledge Source
A Knowledgebase component. Uploaded files (PDF, CSV, text, Markdown, images), websites, YouTube videos, pasted text, or synced Google Drive and Notion content, indexed so your Agents and Flows can search and reference them in responses.
Knowledgebase
Your organization's knowledge layer, under Components > Knowledgebase. Upload documents, sync Google Drive or Notion, and build up context so your Agents and Flows give answers that reflect your business instead of generic responses. Formerly called "Notebooks."
Memory
A Knowledgebase feature that allows Flows to remember important details from past conversations, like a user's name or preferences, making interactions feel more natural.
MCP Server
A Model Context Protocol server that extends what your workflows can do by connecting Agent nodes to external tools and services. Configured under Integrations.
Node
A single building block in the workflow builder. Each node has a specific job (generate text, classify input, branch logic, etc.). See Node Types for the full list.
Node Output
The result produced by a node when it runs. Outputs are automatically available to any downstream node and can be referenced by name. See Variables and Data.
Notebooks
The former name for Knowledgebases.
Organization
The top-level account that owns Flows, Suites, team members, and settings. Everything in FormWise belongs to an organization.
Parallel Node
A workflow node, labeled Multi Run in the workflow builder, that runs multiple branches simultaneously and waits until they are all done before continuing. Useful when tasks do not depend on each other and you want to speed things up.
Plan
See Self-Service Plan.
Portal
A branded door for end users: sign-in, an admission list of groups, and optionally an attached Storefront. A Portal grants nothing by itself, and neither does signing in - what a visitor can use is decided by their groups. Currently in beta.
Self-Service Plan
A plan in your organization's catalog (Sell > Plans & Credits) that end users buy or, at $0, join by themselves. Every plan is also a group: subscribing puts the buyer in it, and the group is what is assigned to assets. Carries a price, a credit allowance, and optional trial. See Plans & Credits.
Storefront
A named collection of Self-Service Plans offered for sale, with one default. Displayed on a Portal, embedded on any page, or linked per plan; a "Send buyers to" Portal receives the buyer afterwards. See Storefronts.
Session Context
Visitor details that the page or link opening a Flow, Agent, App, Suite, or Portal hands in, as context[key]=value parameters or through the embed script. Off until switched on per asset; Suites and Portals gate everything inside them. Matching form questions are filled in and the rest becomes background the AI knows about the visitor. Values a site signs with its secret are treated as facts. See Session context.
Set State Node
A workflow node that updates workflow variables with new values, letting you store intermediate results for use later. Not in the canvas's + menu; ask the Ask Assistant to add one.
Start Node
The entry-point node of every workflow. It defines the input variables your workflow receives. Every workflow has exactly one Start node.
State Variables
Variables created by Set State nodes that store intermediate results as a workflow runs - like a notepad for remembering things between steps.
Suite
A collection of Flows (and Agents) bundled together as a single package. Suites can be themed, customized, and shared with your team or customers. Formerly called "Toolset."
Transform Node
A workflow node that restructures or reformats data as it moves through the workflow. Use it to rename fields, combine values, or reshape data. Not in the canvas's + menu; ask the Ask Assistant to add one.
Variable Picker
An interactive UI inside text fields that lets you browse and insert references to available variables from earlier in the workflow.
Version
A snapshot of your Flow at a point in time, saved each time you publish. FormWise tracks versions so you can iterate safely and roll back by republishing an earlier one.
Webhook Node
A workflow node that sends data to a URL (Zapier, Make, GoHighLevel, and similar), or, in Advanced mode, makes a custom HTTP request with your own method, headers, and body.
Workflow
The AI logic behind a Flow. You build workflows visually using the Workflow Builder by connecting nodes on a canvas.
Workflow Builder
The visual editor where you design your Flow's AI logic by dragging, dropping, and connecting nodes on a canvas.
Workflow Variables
Variables that come from the user, defined by the questions in the Start node plus the user's chat message, and referenced as {{workflow.<key>}}. Each has a type (String, Number, Boolean, Object, or List). Formerly described as input variables.
