Keep a Knowledgebase in sync with Google Drive and Notion.
Synced Sources
Synced sources let you link your existing cloud apps to a Knowledgebase so your content syncs automatically. Instead of downloading documents and re-uploading them into FormWise, you connect the service once and let FormWise pull in the content. As you update files in the original service, your Knowledgebase stays up to date.
The Connectors page in the sidebar is a different feature: it manages the apps (like Gmail, Slack, and GitHub) your agents can take actions in. See Composio.
Available services
You can sync content from:
- Google Drive - Sync a whole folder, or just the files you pick.
- Notion - Sync the rows of a Notion database.
For one-off content, such as a YouTube video or a public webpage, add a regular knowledge source instead.
Setting up a synced source
- Click Knowledgebase in the left sidebar and open the Knowledgebase you want to sync into.
- In the Sources section, click Add, then choose Google Drive or Notion from the list on the left.
- If the service is not connected yet, click to connect it. A sign-in window opens right there, so you never leave the page. For Google Drive, keep the Drive files box ticked on Google's permission screen - that is how FormWise reads the folders you choose. Connections are shared across your workspace, so only admins and owners can create them.
- Choose what to sync:
- Google Drive - Browse your Drive, then click Sync this folder or, with files checked, Sync selected. If you only want a one-time copy that never re-syncs, use Import selected instead.
- Notion - Enter the Database ID from the database's URL. The database must be shared with the connected Notion integration, or it will sync zero rows.
- Pick a cadence: Hourly, Daily, or Manual (no schedule - it only syncs when you run it yourself).
- Click Start sync for Google Drive (Import & add sync with a Manual cadence), or Add & sync for Notion. The content begins processing, just like manually uploaded files.
How syncing works
On the cadence you picked, FormWise checks the connected service for changes. New and changed items import automatically, and items you remove in the original service are cleaned up in your Knowledgebase. This means your Flows always have access to the latest version of your content without any extra work on your part.
When you sync selected Google Drive files rather than a folder, only those files stay in sync. Changes to them re-import, and files deleted from Drive are removed, but new files added to their folders are not picked up.
Managing synced sources
Your Knowledgebase's existing syncs are listed on the Google Drive and Notion tabs of the Add dialog, each with its status. From there you can:
- Sync now to pull in changes right away instead of waiting for the next scheduled sync.
- Remove the sync if you no longer want it linked to your Knowledgebase. Files that were already imported stay in place.
Tips
- Be selective - You do not need to sync an entire Drive. Focus on the folders that your Flows will actually need.
- Check processing status - After setting up a sync, keep an eye on the Sources section to make sure everything processes successfully.
- Combine with manual uploads - Synced sources and manual uploads work side by side. Use syncing for content that changes frequently and manual uploads for one-off documents.
